How we work

An exhibition stand is a project with a hard deadline — the venue opens at a fixed time and that cannot be moved. Here is the whole process from your perspective: the decisions we make together and where you can rely on our support.

You tell us why you are going to the show

Brief and floor space

We start by asking what the stand actually has to do: host sales conversations, display products, run tastings or provide private rooms for B2B meetings. We also need the industry, budget and floor area, plus a hall plan showing the stand location, so we can choose the right build configuration. This information sets the direction of the design and helps us match the build to its location in the venue.

You see the stand before it exists

Concept and 3D visualisation

You get the design in 3D — the form of the stand, a plan view, the layout of storage, counter, display and meeting area, plus the choice of materials and colours. The visualisation also shows lighting, because at a fair that is what decides whether your stand is visible from the far end of the aisle. The process includes two consultation stages — time to discuss the concept and refine its details before approval.

You know the scope, budget and dates before production

Quote and schedule

One complete quote covering the build, graphics, furniture, lighting, utilities, transport, installation and dismantling. Plus a schedule with dates: when the design is locked, when it goes into production, when we move into the hall. We set out the scope and cost assumptions before production. If your decisions or the organiser's requirements change later — for example utilities, rigging or show fees — we explain the effect on cost before ordering any additional work.

You have support with the paperwork

Organiser paperwork

Every fair has its own build regulations, submission deadlines and forms. If a problem comes up, we always help you deal with the organiser — from ordering utilities and securing stand approval to obtaining exhibitor passes and vehicle permits for the showground.

You are not chasing the workshop or the hauliers

Production and transport

We coordinate production of the build, sourcing of graphics, furniture and lighting, and organise transport. We make sure everything we agreed is reflected on the show floor, while you focus entirely on preparing to promote your business.

You arrive at a finished stand

On-site installation

The installation crew assembles the stand in the hall, connects the utilities, sets the lighting, brings in the furniture and cleans the space. The stand is ready before the event opens to visitors — you arrive, lay out your products and get to work.

During the show, someone picks up the phone

The show and support

We are on the phone for the duration of the show. If a bulb fails, an element comes loose or extra equipment is needed, we agree the response and act as quickly as the venue conditions allow.

After the show, we coordinate dismantling

Dismantling and storage

Once the venue closes, we coordinate dismantling within the window set by the organiser. Reusable elements — counters, furniture, structures and lighting — are stored so that at the next edition only the graphics and layout need to change instead of rebuilding everything from scratch.

The elements we agree together and manage from the brief through to dismantling:

  • Concept design and 3D visualisation with consultation stages
  • Technical drawings and documentation for organiser approval

  • Furniture, lighting, carpet, planting, AV equipment
  • Support in dealing with the organiser about utilities and paperwork

Timing

When to get
in touch.

The earlier you come to us, the more freedom the design has and the calmer production is. But we do take on short deadlines too — there are simply fewer decisions left open.

Comfortable

3–4 months ahead

Full design freedom, time for several concept variants, unhurried production and the best terms from suppliers.

Standard

6–8 weeks ahead

The most common scenario. One concept, two consultation stages, production and installation without rushing.

Tight

3–4 weeks ahead

Workable if decisions come quickly. We simplify the design wherever production would take too long.

Rescue job

Under 3 weeks

It happens — usually when the previous contractor drops out. Get in touch and we will tell you honestly whether we can make it.

What you ask
us most often.

What does an exhibition stand cost?
The price depends mainly on floor area, the number of open sides, build height and whether the stand has an upper deck, storage or rigged elements. That is why we do not publish a price list. Once we have reviewed the brief, we confirm availability, ask for the materials we need and prepare an initial quote before the design work begins.
Is the 3D design charged separately?
The concept and visualisation prepared for a specific quote are part of our work on the job. We agree the details individually at the start, so there is no ambiguity on either side.
Do you build only abroad, or in Poland too?
We deliver stands at international trade fairs and in Poland. The portfolio includes projects from the UK, Germany, Italy, the Netherlands and Austria, as well as Meble Polska in Poznań.
Can a stand be reused at the next show?
Yes. This can often make it possible to reuse part of the previous build. We design structures, counters and lighting so that they can be reassembled in a different layout. At the next edition, usually only the graphics and floor plan change.
Do you help with submissions and utilities with the organiser?
Yes. If a problem comes up, we always help you deal with the organiser when ordering utilities, securing stand approval and obtaining exhibitor passes and vehicle permits for the showground.
What if something breaks during the show?
We are on the phone for the whole event. If there is a minor fault with lighting, fixings or equipment, we agree the response and resolve it as quickly as the venue conditions allow.
